07/24/14 Upbeat Updates (Kroger Card Fundraiser, Key Information for Upbeat Meeting)

KROGER CARD FUNDRAISER:  PLEASE REGISTER OR RE-REGISTER YOUR CARD! Every time you scan your Kroger Plus Card, you earn money for The Lakota West Bands provided your Kroger card is registered to us!   We made $2550/quarter last year with 150 families registered for Kroger Cards.  We have dropped to 99 families registered – likely due to the fact that you must re-register your Kroger card each year. CLICK HERE for instructions on how to register your card/account for the first time.  You will need your KrogerPlus card or number to register.  Do you use your phone number at the register?  Call 800-576-4377, select option 4 to get your Kroger Plus card number. CLICK HERE for instructions on how to re-register your Kroger Plus Card. After registering, members must swipe their registered Kroger Plus card or use the phone number that is related to their registered Kroger Plus card when shopping for each purchase to count for the band.

KEY INFORMATION FOR TUESDAY, JULY 29 UPBEAT CLUB MEETING:  We received a number of suggestions to improve the effectiveness of our meetings and will be putting them into effect at our July 29 meeting.  Please let us know if you like them ….or don’t!  We have a lot to cover at this meeting; our target is to be done at 9pm.

  • Agenda for the July 29 meeting is as follows:

o   7:00-7:30pm – Meet and Greet for Mr. Andy Carr and Mr. Tom Racic, our new directors prior to the official meeting.

o   Meeting starts at 7:30pm in the Lakota West Band Room.

  6.       Audit update and discussion.  A key point of discussion is whether we want to spend $9500 to have an external audit of books for last 3 years.  Our current bylaws require an independent audit; this does not necessarily mean an external audit.  We are not legally required to have an external audit by either state or federal law.  The proposed budget includes $9500 for an external audit of last 3 years plus money for an external audit of this year (14/15)

  8.       Proposed Articles of Incorporation and Bylaws for discussion and vote – Click here to review the proposed Articles of Incorporation in advance of meeting.  Print and bring your copy to the meeting if needed.  Click here and click here to review the two proposed sets of bylaws.   These two alternative sets of bylaws differ in how we handle financial audits as highlighted in yellow.  As background,  Lakota West Upbeat Club will be incorporating as a separate legal entity from the Lakota Upbeat Club, Inc. based on Lakota Upbeat Club, Inc. trustee motion and approval in late April.  The Lakota Upbeat Club, Inc dates back to when we had one Lakota High School; two divisions were created when the high schools split into East and West.  As the two high school band programs and their booster groups operate separately, it was requested by Lakota East Upbeat Club that each division incorporate separately and apply for their own 501(c)(3) status.  Once both East and West have completed this process, the Lakota Upbeat Club, Inc. will be dissolved.
